Please read these Terms & Conditions carefully. They outline important information about your rights and obligations when making a booking with Hannon Travel. By confirming a reservation with us—whether in person, by phone, by email, or through our online booking tool, you agree to be bound by these Terms & Conditions.

When a person makes a booking on behalf of multiple travellers, we will rely on that individual’s authority to act for all travellers listed on the booking. That person is responsible for ensuring every traveller is aware of, and agrees to, these Terms & Conditions.

  1. Passports & Visas

All travellers must hold a valid passport / national ID card for international travel. Many countries require at least six months’ validity beyond your return date and may require machine-readable passports.

We will assume you and all passengers on your booking meet these passport requirements unless you tell us otherwise. It is your responsibility to ensure you have the correct passports, visas, vaccination certs, birth certs, entry or re-entry permits required by the relevant authorities.

Any costs, penalties, or consequences arising from incomplete or incorrect travel documentation will be your responsibility unless caused by our error.

We can provide general guidance regarding visas and entry requirements. If you require detailed advice, we may obtain information from an external visa service on your behalf (fees may apply). We do not guarantee the accuracy of information supplied by third party providers.

Certain destinations—including Australia, New Zealand, Canada, the United States, and the UK —require compulsory preregistration for visa waiver or entry programs. You are responsible for confirming that any previous registrations are still valid and that you meet eligibility criteria.

  1. Travel Documents

Travel documents may include airline tickets, hotel vouchers, tour confirmations, car rental vouchers, car transfer confirmations, travel insurance. These may be non-refundable, non-transferable and are subject to change and cancellation fees.

All tickets must match the exact name shown on the traveller’s passport or official identification. Incorrect names may result in cancellation, denied boarding, or additional charges.

Please check your travel documents thoroughly and notify us immediately of any discrepancies. If you booked through a consultant, it is your responsibility to collect your travel documents before travel. As a guide, they are generally available approximately two weeks prior to departure.

If you booked online, please keep copies of all documentation provided electronically and ensure you retain the most recent version.

Airline baggage allowances vary and can change without notice. Excess baggage is at the traveller’s expense. Long-haul flights listed as “direct” may still include refuelling stops. All timings are estimates and may change due to operational factors.

  1. Travel Insurance

We strongly recommend that all travellers take out or ensure they have hold comprehensive travel insurance covering cancellations, medical treatment, emergency repatriation, personal liability, lost baggage, and other risks.

Insurance provided by credit cards or reciprocal health arrangements may not offer sufficient protection. We can arrange travel insurance or provide general information about available options.

  1. Health

You must ensure you meet any health requirements relevant to your travel and carry all necessary vaccination certificates. Some destinations may refuse entry if required vaccinations are not documented.

Requests relating to medical needs (e.g., mobility devices, refrigeration for medication, or special assistance) are subject to the policies of individual travel providers. We will pass on your request but cannot guarantee it will be fulfilled. You may need to confirm arrangements directly with the provider.

  1. Prices

All prices are subject to availability and may change without notice.

Price variations may occur due to factors outside our control, including currency movements, fuel surcharges, or airline/tax increases.

  1. Hannon Travel Change & Cancellation Fees

Changes or cancellations may incur fees as outlined in your agreement with Hannon Travel. All bookings are subject to the terms imposed by the travel service provider. If a provider applies a no refund‑refund policy, we can only offer the remedies they permit (which may include travel credit rather than a cash refund).

  1. Travel Service Provider Fees

Travel providers may charge fees of up to 100% of the booking value for changes or cancellations, regardless of circumstance. These fees apply in addition to any Hannon Travel fees.

Where refunds are due, we cannot return funds until they have been received from the provider. Processing times may vary and can take 12 weeks or more.

  1. Changes or Cancellations by You

If you request a change, we will do our best to accommodate it, but it may not always be possible. You are responsible for any price increases, provider fees, and Hannon Travel fees.

If you cancel your booking, deposits are non‑refundable unless otherwise specified. Nonrefundable or instant purchase bookings generally cannot be refunded or credited.

  1. Changes or Cancellations by Travel Providers

If a provider cancels your booking (outside force majeure events), they may offer alternative arrangements, credit, or a refund less any unrecoverable costs and applicable fees.

“Unrecoverable costs” are expenses we have incurred on your behalf that cannot be refunded by the relevant provider.

  1. Unavoidable or Extraordinary Circumstances

Events outside a provider’s control (such as extreme weather, pandemics, industrial action, war, or government restrictions) may require modifications or cancellations to your booking.

In such cases, the provider may offer a refund, credit, or alternative arrangements subject to their policies, minus unrecoverable costs and fees.

  1. Taxes

Airline taxes are confirmed at ticket issue and may change. Some airports may charge additional local taxes payable on arrival or departure.

  1. Agency Relationship

Hannon Travel acts solely as an agent for airlines, hotels, tour operators, and other travel service providers. We do not control or operate the services supplied.

Your contract for travel services is with the provider, and your legal rights lie with them except where an issue arises due to our error.

  1. Liability

To the extent permitted by law, Hannon Travel is not liable for loss, damage, delay, injury, or inconvenience caused by third party‑party providers or events beyond our control. Our liability is limited to the extent allowed under applicable laws and conventions governing travel services.

  1. Special Requirements

Please advise us of any special requests (e.g., seating, meals, room types). While we will pass these requests to the relevant provider, fulfilment is not guaranteed.

  1. Frequent Flyer & Loyalty Programmes

If you wish to earn points or rewards, please provide your membership details at the time of booking. We cannot guarantee that providers will credit points or extend benefits.

  1. Schedule Changes

We recommend confirming your flight departure time directly with the airline at least 24 hours before travel.

  1. Privacy

We manage personal information in accordance with our Privacy Policy (link to be added here for the privacy policy page) . By providing your details, you consent to their use and disclosure as described, including sharing your information with overseas providers when necessary to arrange your travel.

  1. Amendments to These Terms

We may update these Terms & Conditions at any time. The terms applicable to your booking are those in effect at the time your reservation is confirmed.

  1. Acknowledgement

By making a booking with us, you confirm that you are at least 18 years old and that you have read, understood, and agreed to these Terms & Conditions and our Privacy Policy.
